Microsoft Copilot: How to Use the Free and Pro Versions Across Office 365

Artificial Intelligence (AI) is transforming the way we work, and Microsoft Copilot is at the forefront of this revolution. Designed to integrate seamlessly with Office 365 applications, Copilot leverages AI to boost productivity, automate tasks, and streamline workflows.

Microsoft offers two versions of Copilot: a free version with basic AI functionalities and a Pro version with advanced features integrated into Office apps like Word, Excel, Outlook, and PowerPoint. Understanding how each version works can help businesses and professionals maximise efficiency while choosing the right option for their needs.

In this blog, we’ll break down how to use both the free and paid versions of Microsoft Copilot across Office 365, outlining key functionalities and real-world applications.

Understanding the Free Version of Microsoft Copilot

The free version of Copilot is available to all users through the Copilot web and mobile apps, Microsoft Edge browser, and select Bing services. While it does not include deep integration with Office 365 applications, it still provides valuable AI-driven support for research, idea generation, and content creation.

How to Use the Free Version of Copilot

1. Copilot Web and Mobile Apps
   • Access Copilot via copilot.microsoft.com or through the mobile app.
   • Use natural language prompts to generate content, summarise text, and get AI-powered responses to queries.
2. Copilot in Edge (AI-powered browsing assistant)
   • The Edge sidebar allows users to ask Copilot questions, summarise webpages, and assist with research.
   • It can help draft emails, rephrase text, and generate insights based on online data.
3. Copilot Image Creator
   • Microsoft offers limited free access to AI-generated images through Bing’s Image Creator, with daily boosts for faster generations.

Example Use Cases for the Free Version

• Brainstorming Content: Use Copilot to generate ideas for blog posts, social media content, or reports.
• Summarising Articles: Paste long text into Copilot and request a summary to quickly grasp key points.
• Writing Assistance: Get AI-generated drafts for emails, proposals, or business documents, which you can refine before finalising.
• Web Research: Use Copilot in Edge to ask questions and retrieve summarized insights from multiple sources.

While these features are useful, they do not extend to direct Office 365 integration. If you’re looking for AI-powered assistance inside Word, Excel, PowerPoint, Outlook, and other Microsoft 365 apps, you’ll need Copilot Pro.

Copilot Pro: AI-Powered Assistance in Office 365

For users who require deep integration of AI into Office 365, Copilot Pro unlocks a powerful suite of tools across Word, Excel, Outlook, PowerPoint, and OneNote.

With Copilot Pro in Word, users can:

• Generate text based on prompts.
• Rewrite and refine existing content for clarity and professionalism.

• Assist with formatting recommendations and structure.

Example Use Case: Instead of starting a business proposal from scratch, Copilot can draft an initial version based on key points, which can be refined and customized.

2. Microsoft Excel: Data Analysis Made Simple

In Excel, Copilot Pro enables users to:

• Analyze data trends and generate insights.
• Suggest and create charts based on dataset patterns.
• Generate formulas using natural language prompts (e.g., “Calculate total revenue for last quarter”).

Example Use Case: If you have a spreadsheet with monthly sales data, Copilot can quickly highlight trends, flag anomalies, and suggest visualization techniques.

3. Microsoft Outlook: Smarter Email Management

Copilot in Outlook helps users:

• Draft emails with professional and concise language.
• Summarise long email threads, highlighting key points.
• Suggest responses to emails based on previous conversations.

Example Use Case: If you’re overwhelmed by a long email chain about a project update, Copilot can summarize the discussion and extract key action items.

4. Microsoft Teams: Meeting Summaries and Smart Suggestions

In Teams, Copilot Pro offers:

• Automated meeting summaries.
• Action point extraction from chat discussions.
• AI-powered suggestions for drafting messages.

Example Use Case: If you miss a meeting, Copilot can provide a quick summary so you can catch up without watching the full recording.

5. Microsoft PowerPoint: AI-Generated Presentations

With Copilot Pro, users can:

• Automatically generate slides based on text prompts.
• Suggest content and formatting improvements.
• Create speaker notes to support presentations.

Example Use Case: If you have a text-based report, Copilot can instantly convert it into a structured PowerPoint presentation with visuals.

Final Thoughts

Microsoft Copilot is a powerful AI assistant that offers both a free version for general AI tasks and a Pro version for deep Office 365 integration.
